1. About SignCV and these Terms

SignCV is operated by SignCV, Unipessoal, Lda., established in Portugal, with its registered office at Rua Prof. António Maria Rodrigues 4, 1E, 2500-884, Caldas da Rainha, Portugal, registered with the Portuguese Commercial Registry under number 313109460, and Portuguese tax/VAT number 313109460. In these Terms, “SignCV”, “we”, “us” and “our” refer to that entity.

Website: https://signcv.com
Email for support, complaints and legal notices: support@signcv.com
Telephone: +351 960 459 593

These Terms govern candidate and recruiter accounts and purchases of SignCV services. You accept them when you register or expressly agree to them when placing an order. If you act for an organisation, you must have authority to bind it. Viewing a public page does not, by itself, mean that a visitor has accepted a contract with us. References are not parties to these Terms merely because a candidate names them or they receive an invitation.

Our Privacy Policy explains how we process personal data. Our Cookie Policy explains cookies and similar technologies. Acknowledging those policies is not blanket consent to personal-data processing or optional cookies. Where separate consent is required, we request it separately.

If you use SignCV mainly for purposes outside your trade, business or profession, you are a consumer. Nothing in these Terms takes away mandatory consumer rights or data-protection rights.

2. Eligibility and your account

You must be at least 18 years old and legally able to enter into this agreement to create an account. Candidate accounts are for individuals verifying their own CVs. Recruiter accounts are for people using the service for legitimate recruitment purposes. Your account role is assigned at registration and cannot currently be changed through the service.

Provide accurate registration information, verify your email address, keep your sign-in credentials secure, and tell us promptly if you suspect unauthorised access. Do not share, sell or transfer your account or allow someone else to impersonate you. You are responsible for activity you authorise through your account, but this does not make you responsible for security failures attributable to us or otherwise override applicable law.

3. What the service does

SignCV checks an uploaded CV at the selected level. When the applicable initial checks pass, we add a verification certificate to a copy of the PDF. The certificate contains a badge, the checks passed, a verification code and a QR code linking to a public verification page.

LevelIncluded checks and features
Silver — freePDF readability; confirmation that your verified account email appears in the CV; a basic AI consistency check carried out later.
Gold — paidSilver features, with a full AI consistency check normally started promptly, additional summary and education consistency checks, and private, informational CV advice.
Platinum — paidGold features, plus attempts to obtain employment confirmation and reference validation from references named in your CV. These additional checks depend on eligible responses.

A tier identifies the service selected. It does not mean that every check available at that tier has passed. Only the checks expressly listed on the current verification page have passed. Pending checks and negative results are not listed publicly.

The verified-email check confirms that an email address under your control appears in the document. It does not prove your legal identity or establish ownership of every item in the CV.

Consistency checks examine whether statements within the CV appear internally consistent. They do not independently establish that an employer exists, that you worked there, or that your qualifications, job titles, dates or other claims are true. Employment confirmation has the narrower meaning described in section 7.

SignCV is not a government authority, notary, qualification-awarding body or qualified electronic trust service. Its certificate is a SignCV verification record, not an official certification, background clearance or guarantee of authenticity of every statement. We do not give a public candidate score or ranking, make hiring decisions, or guarantee employment, interviews or other outcomes.

4. Processing times and staged verification

Silver CVs may be stamped and published after the readability and email checks, before the basic consistency check runs. That consistency check starts no earlier than three business days after upload and may take longer because of processing queues and capacity.

Gold consistency checks normally complete within minutes after processing starts, but that is an estimate. Platinum CVs may be stamped after the full consistency check, with employment and reference checks added later as eligible responses arrive.

Reference invitations expire after 30 days. References may decline, fail to respond, respond negatively, or provide a response that does not qualify. We cannot require their cooperation or promise a particular reference or employment result.

We will display relevant timing information before you submit or purchase. Any deadline expressly agreed in your order remains binding. If a significant delay occurs, contact support@signcv.com. Timing estimates and third-party dependencies do not exclude your rights if we fail to supply the agreed service.

5. AI analysis, errors and review

We use artificial intelligence, including large language models, to extract information from CV text and perform consistency checks. These checks may identify incomplete sections, impossible or conflicting dates, significant overlaps between stated full-time roles, missing employer or date information, and inconsistencies between titles and the rest of the CV. Gold and Platinum also examine whether the summary is supported by the experience and whether education information is consistent. Spelling and formatting observations are informational.

AI can misunderstand text, miss errors or produce incorrect conclusions. A rejected CV or removed verification is not a finding that you have been dishonest. Private CV advice is informational and should be checked before you act on it.

If you believe an automated result is wrong, email support@signcv.com, identify the CV and disputed result, and explain the relevant facts. You may ask for human review, provide supporting information and contest the result. We will arrange a review by a person who can reconsider and correct the decision. Sending the same material through the AI again is not a substitute for that review. This process is free and does not restrict any additional rights under applicable law.

6. Your CV, permissions and responsibilities

You retain ownership of your CV and any rights you hold in its content. You give us a non-exclusive, limited permission to process that content to provide the service you request. This covers storing the original and stamped PDFs, extracting and analysing text, creating and maintaining verification records, delivering private results, contacting eligible references for Platinum, and making the verification page and stamped PDF available as explained in section 8.

We may reuse a stored analysis for an identical CV belonging to you to avoid unnecessary repeat processing. Reference responses count for your CVs only as explained in section 7. These permissions do not allow us to sell your CV, use it for advertising, license it for unrelated purposes or use it to train AI models. They end when the relevant content or account is deleted, except for limited processing or retention that is necessary and lawful, as explained in our Privacy Policy.

You must upload your own CV, have the rights needed to submit its content, provide information honestly, and avoid material that unlawfully infringes another person's rights or discloses confidential information. Do not upload identity-document copies, financial account details, health information, criminal-record information or other sensitive material that is unnecessary for the service. A CV photograph is optional.

PDFs must meet the requirements shown at upload. The current limit is 10 MB. We read only the first 40 pages, and extracted text is subject to processing limits. Material outside those limits is not checked. Do not present it as having been verified.

We place our certificate in suitable unused space on the last page or add a page if necessary. We do not intentionally cover, remove or change your existing visible CV content, except to replace a previous SignCV certificate. Review the stamped PDF before sharing it and report any problem.

7. References and employment confirmation

For Platinum, we identify references from your CV and may invite them to answer a short survey. Before submitting their details, obtain their agreement to be named and contacted for this purpose. Tell them that their answers will be visible to you and will count for your CVs that name them, as described below. Your agreement with a reference does not replace our own legal obligations towards them.

We provide references with information about why we are contacting them, the source of their details, the information we collect, how their answers are used, and their choices and privacy rights. Participation is voluntary. We may send service reminders during the invitation period, but will stop further invitations and reminders to a person who asks us to stop.

References confirm access to their email address and answer questions about whether they worked with you at the stated company, whether they recommend you, and the strength of that recommendation on a scale of 1–10. Their individual answers, including negative answers and ratings, are shown to you privately. We do not publish those answers or ratings on the public verification page.

An employment confirmed check means that an eligible respondent using an email address assessed as belonging to the company's domain confirmed having worked with you at that company. Free-mail addresses do not qualify for this check. It is not confirmation from the company's HR department or an authorised corporate statement unless expressly identified as such, and does not establish every job title, duty or employment date in the CV.

A references validated check means that at least one eligible reference provided a positive recommendation with a rating above 5 and passed our validation checks. It does not mean every reference responded or recommended you. A negative response does not, by itself, reject or withdraw your CV.

We apply safeguards such as email confirmation, expiring single-use invitation links and connection checks. A reference response may be excluded if its confirmation IP address matches the candidate's. A shared connection is a risk signal, not proof of fraud, and you may contest the exclusion through the review process in section 5. These safeguards cannot eliminate impersonation or false statements.

Before answering, a reference is told that you use their response as a reference on your CV. Their response then counts for each of your CVs that names the same reference, including updated versions, for as long as your account remains active, and we do not ask them again; an employment confirmation counts only for the same company. It is a historical response, not a fresh endorsement of later claims or later work. References may contact us to correct their information, dispute a response, object to their response counting for further CVs, or exercise applicable privacy rights. We will remove or update dependent checks where necessary. A recommendation does not become your unrestricted property and is not guaranteed to remain available permanently.

8. Public verification pages and PDF downloads

The current SignCV service automatically publishes a verification page and makes the stamped CV available for download when the applicable initial checks pass. There is no separate publication or PDF-download consent step, and the current service does not offer private-only CV processing. Anyone who obtains or discovers a published verification code or link may view that page without an account. Codes and QR links are not passwords.

The page shows your name and profession, masked email and telephone information, the tier, the checks passed, and the companies for which employment was confirmed and the method of confirmation. It does not display your birth date, full work history, education, skills, individual reference answers or private advice.

The stamped PDF is different from the summary page. Signed-in users who access the verification page may download the full stamped CV, including any contact details, photograph, reference details or other information you left in the PDF. Download availability is automatic; it is not conditional on a separate permission check for references named in the document. The summary page's masking does not mask the PDF, and a sign-in requirement does not make its contents confidential. Before uploading, remove information you do not want recipients to obtain and unnecessary personal information about other people. Tell any reference whose details you include about this disclosure. Your acceptance of these Terms does not itself authorise SignCV to disclose another person's personal data or replace SignCV's own data-protection obligations.

We instruct search engines not to index verification pages, but cannot guarantee that no search engine, recipient or other person will store, copy or redistribute public information. We record signed-in views and downloads for service and security purposes, and show those users their own activity. We do not currently provide candidates with a list identifying who viewed or downloaded their CV.

You may ask us to end a CV's online verification or disable its downloads by emailing support@signcv.com. We handle privacy, removal and restriction requests under applicable law and the Privacy Policy. This is not withdrawal from a paid purchase under section 11. Removal prevents the affected future access through SignCV but cannot recall PDFs or information already obtained by others. Recruiters remain responsible for their own use and retention of downloads.

9. Rejection, changing checks and older versions

If a required check fails, we may reject the CV and privately explain the result. You may correct it and submit a new CV at the same level without an additional plan fee. It receives a new verification code and is checked again, subject to the reuse of valid identical analyses and reference responses described above.

If a later check invalidates a published verification, or a response is corrected or withdrawn, we may remove a check or stop the document's online verification. Where verification is withdrawn, the public page uses a neutral message such as “no longer current” and the stamped PDF is no longer downloadable from SignCV. We will notify you of a withdrawal and you may contest it.

Checks added later normally update the same document's code and public page. A newer uploaded CV receives its own code; the older page may point to the newer version. Copies already downloaded do not update themselves. Candidates and recruiters should check the live verification page before relying on a certificate. A missing check or a “no longer current” message should not be treated as proof of dishonesty or a negative reference.

10. Plans, prices and payment

Silver and recruiter access are free. Gold and Platinum require a one-time plan payment, with no subscription or recurring plan fee. Your paid level covers future new CV uploads at that level or a lower level while your account remains open and the service continues to operate, subject to these Terms. The plan is personal and cannot be transferred.

This is an ongoing service entitlement. It does not mean that any individual CV remains verified forever, that references cannot change their responses, or that SignCV guarantees to operate for your natural lifetime. We will not impose recurring charges for the entitlement you already bought or remove it merely because our prices change. Closure of the service is addressed in section 15, without limiting your legal remedies.

Prices and supported currencies are shown before purchase. The final amount includes applicable VAT and other compulsory charges. Any currency-conversion charges imposed by your bank or payment provider are governed by your arrangement with them. No optional charge is added without your express agreement.

Payment is processed through Stripe's hosted checkout. SignCV is the seller of the service and Stripe processes payment. We do not receive or store your full payment-card details. Your paid order is accepted when payment is successfully confirmed and we send the order confirmation. If payment is not completed, the paid entitlement is not activated. If you see an unexpected payment or duplicate charge, contact us promptly.

Upgrading an existing CV is a separate paid document-upgrade service. It currently costs the destination tier's full displayed price, without credit for earlier payments, even if your account plan already covers that tier. This additional charge must be clearly disclosed before you order. If your plan already covers the destination tier, you can instead submit the CV as a new upload at that tier without paying this document-upgrade fee. A paid upgrade to a higher tier also gives your account the corresponding entitlement for later new uploads. We will not charge for correcting a fault in a service we supplied.

11. Cancellation, refunds and consumer rights

We do not offer discretionary change-of-mind refunds outside applicable withdrawal rights. A CV's failure to pass, or a reference's failure to respond positively, does not by itself create a refund entitlement if we supplied the agreed checks with the required care and in accordance with the contract. Free corrected resubmission remains available under section 9.

This policy does not exclude refunds, price reductions, cancellation or other remedies required by law. If the service is not supplied or does not conform to the contract, consumers have the applicable rights to have it brought into conformity, obtain a price reduction or terminate the contract under the conditions established by law. These rights also apply where relevant to free digital services supplied in exchange for personal data.

If you are a consumer protected by EU/EEA or equivalent distance-contract rules, you generally have 14 calendar days from conclusion of a paid contract to withdraw without giving a reason. For our current paid plans and document upgrades, we preserve that withdrawal period even if an individual CV check has finished or a PDF has been downloaded. We do not treat an individual completed check as full performance of your ongoing plan.

To withdraw, send an unequivocal statement to support@signcv.com or our postal address in section 1. You may use the optional form below. You can also open Purchases and withdrawals from the signed-in account menu, select Withdraw from this purchase beside the relevant purchase and confirm your withdrawal. The Purchases section shows each paid purchase and its withdrawal deadline; the button is available during the applicable withdrawal period. Your payment confirmation email also links directly to that page. Send or submit your statement before the period expires; withdrawal does not depend on our approval or your use of a particular form. We will send an acknowledgement on a durable medium, such as email, without undue delay, including the content and date and time of your withdrawal. For withdrawal submitted through our website, we acknowledge receipt within 24 hours at the latest.

We aim to process refunds within 3–5 business days after being informed of your withdrawal. In all cases, we refund the payment for the withdrawn purchase without undue delay and no later than 14 calendar days after being informed, using the original payment method unless you expressly agree otherwise, without a refund fee. Under this policy, we do not deduct a charge for checks already performed during that withdrawal period. Longer withdrawal periods or additional rights required by applicable law still apply.

Paid processing starts automatically once your payment is confirmed, without a separate request or further action from you to initiate the checks. This automatic start, the completion of checks or the download of a PDF does not remove the withdrawal protection described above. Silver does not involve a paid purchase.

When you exercise your withdrawal right, we end the paid entitlement arising from that purchase and immediately deactivate the affected paid verification codes and associated paid PDF downloads. The affected verification pages display a neutral inactive-status message, such as “no longer current”. Your account remains available at your remaining level, including Silver or a level supported by an earlier purchase that remains valid. Other valid purchases and verifications are unaffected.

You can then request a replacement CV at your remaining level, with a new verification code and stamp. The replacement must meet that level's applicable checks, and its publication and PDF downloads follow the process described in section 8, subject to applicable data-protection law. Previously downloaded copies do not update themselves. Where applicable law requires you to stop using supplied digital content or services after withdrawal, you must do so. This does not affect your ownership of the CV you provided or your right to recover your own content as required by law.

12. Personal data and LLM-provider commitments

We retain and process personal data to operate accounts, analyse CVs, maintain verification records, provide the features you request, protect the service and meet legal obligations, as explained in our Privacy Policy. SignCV stores your data; the commitments below concern the LLM provider's handling of analysis data.

We do not sell or rent your personal data or disclose it to third parties for their independent advertising, profiling, data-brokerage or other unrelated commercial purposes. Access and disclosure are limited to:

  • authorised personnel and necessary providers of hosting, storage, authentication, email delivery, security and payment services, to the extent required for their functions;
  • LLM providers for the specific analysis described below;
  • the public verification and PDF-download features you request under section 8;
  • references, who receive the candidate and company information needed for the requested reference check; and
  • disclosures necessary to comply with a binding legal obligation or valid legal process, subject to applicable safeguards.

Optional sign-in and any optional analytics features operate only as described in the Privacy and Cookie Policies. Optional analytics must not expose your CV content, reference answers or other private dashboard content to analytics providers.

LLM analysis is limited to the particular task requested. We send only the CV text and related information necessary to extract relevant information and perform the selected consistency analysis. “One-time analysis” means processing for that specific task; it does not authorise ongoing access to your account, future use for unrelated purposes, or model training. A new or corrected CV may require a new analysis. We may retain the returned results within SignCV to provide the service and avoid unnecessary repeat analysis.

Our LLM provider, identified in the Privacy Policy, does not use API inputs or outputs to train models by default under its commercial terms. We do not opt in to such training or submit private CV content as feedback or bug-report material. Its API is not a zero-retention service: it may retain inputs and outputs for up to 30 days, with longer retention possible for usage-policy enforcement and legal requirements, as the Privacy Policy explains. We do not send private data through an LLM service that uses it to train models.

Any necessary transfer outside the EEA must meet applicable data-protection requirements. Our Privacy Policy identifies relevant recipient categories, links to current provider information, explains processing locations and transfer safeguards, and tells you how to obtain further information and exercise your rights. Accepting these Terms is not consent to an otherwise unlawful transfer.

13. Recruiter and downloader responsibilities

If you access or download another person's CV through an account, use it only for a genuine, lawful recruitment purpose. Do not scrape or harvest CVs, create bulk candidate databases unrelated to the recruitment purpose, resell or publish the information, use it for unsolicited marketing, or share it with people who do not need it for that purpose.

Protect downloaded CVs, limit access to authorised recruitment personnel, and retain them only as long as necessary and lawful. If you or your organisation determine the purposes and means of processing downloaded personal data, you act as an independent controller and must satisfy your own obligations, including a lawful basis, transparency, security, applicable rights requests and lawful international transfers. Our publication of a CV is not blanket permission for any later use.

Check the live verification page and the stated scope of each check. You remain responsible for lawful, fair hiring decisions and any further diligence needed for the role. Do not use a missing badge, missing check, negative private information obtained elsewhere, or inactive page as an automatic basis for an adverse hiring decision. The service is not designed to make or replace such decisions.

14. Acceptable use and intellectual property

Do not upload someone else's CV as your own, impersonate a reference, fabricate responses, tamper with badges or codes, claim that an unperformed check passed, or misrepresent the meaning of a certificate. Do not bypass download or security controls, guess codes at scale, introduce malicious files, disrupt the service, or use automated extraction without our written permission. Restrictions do not prevent activities or interoperability rights that applicable law expressly permits.

SignCV's software, branding and certificate designs remain our property or our licensors' property. You may use and distribute the stamped PDF supplied for your CV and display its intact certificate in connection with that CV, subject to its actual verification status. You may not apply the certificate to another document, detach it to imply wider verification, or suggest an official endorsement beyond the checks stated.

We may remove unlawful or misleading content, restrict affected features or suspend accounts in accordance with section 15. To report unlawful content or misuse, email support@signcv.com with the relevant link or code and a description. We will consider reports and provide reasons for action where required by law.

15. Service changes, suspension and account closure

We maintain the service with reasonable care and skill. Maintenance, security incidents and failures of necessary providers may cause interruptions. We will take reasonable steps to restore affected functions. This does not excuse a failure to supply the contracted service or remove statutory remedies.

We may make reasonable changes needed to comply with law, address security risks, correct errors or maintain technical compatibility. Changes affecting an ongoing paid digital service must comply with applicable law, including requirements for a valid reason, no additional cost, advance information on a durable medium where required, and any right to terminate following a material adverse change.

We may suspend or close an account, or restrict publication, where reasonably necessary because of a material breach, fraud, unlawful content, a serious security risk or a legal requirement. The action must be proportionate. Unless immediate action is justified or notice is legally prohibited, we will explain the reason and allow a reasonable opportunity to correct the issue or contest the decision. An incorrect AI result alone is not proof of misconduct. You may appeal to support@signcv.com.

You may close your account or request deletion by emailing support@signcv.com. Closing the account ends future access to the account's plan benefits. Merely closing an account outside applicable cancellation rights does not automatically entitle you to a refund; mandatory rights remain unaffected.

When online verification ends, affected public pages become unavailable or display a neutral inactive-status message, and further PDF downloads are disabled. Copies held by others remain outside our control. We erase or restrict retained data in accordance with the Privacy Policy and applicable law, including any legally required retention. We do not guarantee immediate erasure from backups; the applicable deletion process and retention periods are explained in the Privacy Policy.

If we permanently discontinue the service, we will, where reasonably possible, give at least 90 days' advance notice and a reasonable opportunity to download your own available content. Any unavoidable shorter notice must be justified by the circumstances. We will honour applicable rights to reimbursement, termination and recovery of content. A closure notice is not a waiver of our obligations under an ongoing paid plan.

16. Responsibility and liability

We are responsible for providing the agreed service with the care required by law. Candidates remain responsible for the information they supply; references remain responsible for their own statements; and recruiters remain responsible for their use of information and hiring decisions. Third-party involvement does not remove responsibility for failures for which SignCV is legally responsible.

The limits on the scope of checks described in these Terms explain what service is supplied. They do not excuse inaccurate descriptions, misleading claims, failure to perform an agreed check, or a breach of our privacy or other contractual commitments.

We do not exclude or limit liability for fraud, intentional misconduct, gross negligence, death or personal injury where liability cannot lawfully be limited, breach of non-excludable consumer rights, compensation due under data-protection law, or any other liability that the law does not permit us to exclude or limit.

For consumers, liability and remedies are determined by applicable law. We do not impose a blanket liability cap equal to the plan price. For professional users, to the extent permitted by law, we are not responsible for indirect commercial losses that were not reasonably foreseeable consequences of our breach. This provision remains subject to the exclusions from limitation above and does not remove liability for an expressly undertaken obligation.

17. Changes to these Terms

We may update these Terms for identifiable reasons such as legal changes, security needs, changes in the service or correction of errors. We will publish a dated version and notify affected account holders directly of material changes, normally at least 30 days before they take effect. If an urgent legal or security reason requires shorter notice, we will explain this where permitted.

Changes do not retrospectively reduce acquired paid entitlements or remove rights relating to an earlier breach. Where your express agreement is required, we will obtain it. Posting a new version, recording it only for new users, or treating silence alone as acceptance does not make such a change binding on existing users. If you do not agree to a material change, we will explain the available options and any applicable termination or refund rights before it takes effect.

18. Governing law, complaints and disputes

These Terms are governed by Portuguese law. If you are a consumer, this choice does not deprive you of mandatory protection available under the law applicable to you, including the law of your habitual residence where relevant. You may bring proceedings in any court competent under applicable consumer-jurisdiction rules. Professional disputes are subject to the competent Portuguese courts, unless mandatory law requires otherwise.

Please send service complaints to support@signcv.com. You may also use Portugal's Electronic Complaints Book at https://www.livroreclamacoes.pt/.

For consumer disputes, you may contact the following consumer alternative dispute-resolution (ADR) entity, whose territorial coverage includes Caldas da Rainha:

CNIACC — Centro Nacional de Informação e Arbitragem de Conflitos de Consumo
Rua D. Afonso Henriques, 1
4700-030 Braga, Portugal
Website: https://www.cniacc.pt/pt/
Email: geral@cniacc.pt
Telephone: +351 253 619 107 (Portuguese national landline; your operator's charges apply).

Eligibility and jurisdiction depend on the dispute and the entity's applicable rules. Another authorised consumer ADR entity may be competent depending on your location and the circumstances of the contract. Information about recognised entities is available from the Direção-Geral do Consumidor.

Where Portuguese law makes mediation or arbitration mandatory at the consumer's express option, including qualifying consumer disputes of low economic value, we participate as required by law. In other cases, arbitration depends on the applicable rules and a valid arbitration agreement. Nothing in these Terms excludes mandatory consumer remedies or access to competent courts and regulators, subject to the rules governing applicable arbitration.

For data-protection concerns, you may complain to the Portuguese supervisory authority, Comissão Nacional de Proteção de Dados (CNPD), or another competent supervisory authority, as explained in our Privacy Policy.

19. Other provisions and contact

If a provision is invalid or unenforceable, the remaining provisions continue to apply so far as legally possible. We will not replace an invalid consumer provision with a term that preserves an unlawful restriction. A failure to enforce a provision on one occasion does not waive future enforcement.

These Terms, the specific order information and any additional agreement expressly accepted by you form the service contract. This does not exclude binding pre-contract statements or mandatory information. The Privacy and Cookie Policies fulfil separate transparency obligations and do not waive your rights.

We provide contractual communications by email or another durable medium where required. English and Spanish versions are made available for the languages in which we offer the service. A translation will not be used to reduce rights or protections arising from the language in which you contracted.

For questions, review requests, publication-removal requests, cancellation, complaints or account deletion, contact support@signcv.com.
